When somebody calls a company or business, it is usually the voice of the receptionist that they will hear. Thus, it is very important for receptionists to answer the phone in a professional and helpful manner. One of the important objectives of receptionist training is for them to know the impact of their telephone manners on the entire company or business. Unfortunately, it is human nature to form first impressions based solely on the initial interaction they have with a person, either face-to-face or through the phone. They can be prejudiced against against the business or practice when they think they are treated rudely by the receptionist; and more often than not, these potential clients won’t have second thoughts about taking their business somewhere else. Thus, it is very important to know how to answer telephone calls as a receptionist. They should observe proper telephone etiquette and always be on the lookout for the opportunity to make a positive first impression every time they pick up the phone.
